What You’ll Do
In this pivotal role, you will act as a strategic partner to the CEO, ensuring seamless execution of priorities, communications, and operations. You will be at the center of decision-making, supporting leadership in a high-intensity, globally connected environment while contributing to initiatives that have national and international reach.
Responsibilities
• Manage a highly complex and ever-changing executive calendar with precision and foresight
• Coordinate detailed domestic and international travel, including logistics for major global events
• Prepare high-level correspondence, presentations, and confidential materials
• Act as a key liaison between the CEO, Board members, and senior stakeholders
• Support Board operations, including meeting coordination, materials, and logistics
• Track priorities, follow-ups, and sensitive matters to ensure alignment and execution
• Coordinate meetings, agendas, and executive briefings
• Oversee expense reporting and administrative processes
• Lead and support special projects with organizational impact
• Serve as a trusted gatekeeper and advisor to the CEO
• Mentor and support other administrative team members
• Assist with logistics tied to major international events and initiatives
Qualifications
• Fully bilingual in English and French, both written and spoken
• 5+ years of experience supporting C-level executives in complex environments
• Proven ability to manage high-pressure situations with discretion and professionalism
• Expertise in calendar management, travel coordination, and executive operations
• Strong judgment, emotional intelligence, and communication skills
• Highly organized, proactive, and adaptable to changing priorities
• Experience working with senior stakeholders or boards is an asset
• Valid passport and willingness to travel as required
