What You’ll Do
As the Bilingual Administrative Coordinator, you will help ensure that important administrative processes, documentation, schedules, and digital information are handled accurately and on time.
This is a detail-driven position where quality matters. You will coordinate multiple activities, proofread and format materials, maintain accurate electronic information, organize meetings and schedules, and communicate with a variety of professional stakeholders.
Priorities can shift, so you should be comfortable adjusting schedules and reorganizing your day while continuing to produce accurate, high-quality work.
Responsibilities

Coordinate administrative activities, schedules, meetings, and deadlines.

Prepare, proofread, edit, format, and quality-check written materials.

Perform accurate data entry and maintain confidential electronic records.

Review information for accuracy, consistency, completeness, and formatting.

Coordinate virtual meetings and provide administrative support to participants.

Schedule and reschedule activities based on stakeholder availability.

Maintain organized digital files, documentation, and supporting information.

Follow established policies, procedures, timelines, and project plans.

Communicate professionally with internal and external stakeholders in English and French.

Support multiple projects and priorities while maintaining a high standard of accuracy.

Use standard office technology and digital platforms confidently.

Identify administrative issues proactively and help keep projects and deliverables on track.

Maintain discretion and confidentiality when working with sensitive information.

Provide occasional support outside regular business hours when scheduled activities require it, with corresponding adjustments to working hours.
Qualifications

Fluency in English and French is required.

Approximately 1 to 3 years of administrative, coordination, or related professional experience.

Exceptional attention to detail and a demonstrated commitment to accuracy and quality.

Excellent written communication, proofreading, and editing abilities.

Post-secondary education is preferred. Relevant professional experience may be considered in place of formal education.

Experience in a professional services, association, healthcare, education, nonprofit, or similarly structured environment is an asset, but is not required.
