Introduction
You will be the person who keeps a busy processing team on track: deciding who works on what, spotting delays before they grow, and checking that the work is right. It is a step into operational leadership without direct reports, with real influence on how the department runs.
Our client, an established professional services company, is hiring a Bilingual Processing Coordinator for its client experience team in the Greater Toronto Area.
Why You’ll Want This Role
- A leadership step without direct reports: you guide the work and the team’s priorities.
- Real influence on processes in a recently restructured department, with visibility to senior management.
- Flexible hybrid work, with office visits about once or twice a month and a work-from-anywhere option for part of the year.
- Strong time off: three weeks of vacation, paid sick days and floater days available from your first day.
- Medical, dental and drug coverage after probation, plus a wellness spending account and RSP matching.
What You’ll Do
Each day, work comes in and you decide what needs attention first, share it out fairly, and keep it moving. When files stall, you find out why and help clear the way. You check the results and tell your manager what is done, what is waiting and where the team needs help.
Responsibilities
- Coordinate daily processing workflows and priorities so work is completed on time.
- Monitor service levels, turnaround times, queues and workload across the team.
- Build and maintain schedules so the team has the right coverage.
- Assign and balance work across team members and external partners.
- Act as the first point of escalation for processing issues and exceptions.
- Guide team members on processes, procedures and service requirements.
- Review completed work for accuracy, completeness and quality standards.
- Track open items and escalations through to completion.
- Work with other teams and outside partners so everyone knows what needs to happen.
- Spot recurring problems and suggest improvements to workflow and quality.
- Report on workload, service levels and quality trends to your manager.
Qualifications
Required:
- 3+ years of experience in processing, operations coordination, workflow coordination or administrative leadership, such as a team lead, supervisor or operations coordinator role.
- Professional French and English, spoken and written, to work with clients and colleagues in both languages.
- Strong attention to detail and experience overseeing the quality of others’ work.
- Ability to manage priorities, queues, workload distribution and service level commitments.
- Good judgment about when and how to escalate.
- Comfortable with business systems, databases and workflow tools.
- Ability to commute to the Greater Toronto Area office when needed.
- Legally entitled to work in Canada.
Assets:
- A degree or diploma.
- Experience with a CRM such as HubSpot or Zendesk.
- Experience in screening, verification or compliance work.
- Experience supporting service level agreements, operational targets or quality standards.
Benefits
- Salary of $55K-$65K per year.
- Three weeks of vacation.
- Paid sick days, plus floater days available from your first day.
- Paid bereavement leave.
- Medical, dental and drug coverage after a 3-month probation.
- An annual wellness spending account.
- RSP matching.
- A work-from-anywhere option for up to 4 weeks a year, with company approval.
