What You’ll Do
You’ll serve as the cornerstone of office operations and executive support, managing everything from front-desk reception to event registration logistics. This role supports daily business functions, executive calendars, internal communications, and visitor relations, while also playing a key part in preparing for corporate events and maintaining efficient office systems.
Responsibilities

Greet visitors and manage incoming calls with professionalism

Oversee executive calendars, travel, meeting prep, and internal communication

Coordinate all incoming/outgoing mail, couriers, and deliveries

Maintain supply inventory and organized common areas

Support registration and materials for corporate events and conferences

Collaborate with Program Managers on websites, surveys, and attendee data

Ensure accuracy across records, filing, and reports

Assist with travel documents, meeting materials, and on-site kits

Manage vendor and partner communications as needed
Qualifications

Fluency in English required; French fluency is a strong asset

Minimum 2 years of experience in office coordination or administrative support

Strong attention to detail, time management, and multitasking skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams)
