Bilingual Event Planner (French and English Required) – 6 Month Contract

Are you a bilingual event professional who takes pride in delivering well-run, detail-driven conferences from start to finish?

Our client, a respected national association representing organizations across Canada, is seeking a Bilingual Event Planner for an existing six month contract opportunity. This role requires full professional fluency in both French and English, written and spoken, as you will regularly engage with senior stakeholders in Quebec and across Canada.

This position is ideal for someone experienced, steady, and reliable who can step into a structured environment and confidently manage conference logistics with minimal supervision. The immediate priority is a conference in Quebec City at the end of May through early June, followed by continued event planning support throughout the contract term.

Compensation: $55,000 to $90,000 annually, based on experience

What You’ll Do

You will oversee the operational logistics of conferences and trade show style events, ensuring that every detail is organized, contracted, and executed smoothly. You will not be responsible for speaker programming, but you will manage the full logistical framework that allows events to run successfully.

This is a hands-on role for someone who understands how conferences work behind the scenes and enjoys bringing structure and calm to complex moving parts.

Responsibilities

• Manage full cycle conference logistics for events of approximately 250 plus attendees
• Source and negotiate contracts with hotels and venues
• Coordinate audiovisual providers and technical requirements
• Plan and manage food and beverage services
• Oversee event registration systems and attendee communications
• Liaise with exhibitors and sponsors regarding booth logistics and requirements
• Track budgets, vendor invoices, and post event reconciliation
• Prepare detailed run of show documents and vendor contact lists
• Provide on site event support, including registration desk oversight and troubleshooting
• Collaborate with internal teams and committees, including Quebec based stakeholders
• Support sponsorship and exhibitor coordination as required
• Contribute to process improvements while maintaining consistency and reliability

Qualifications

• Full professional fluency in French and English, written and spoken
• Minimum 3 years of hands on conference and event logistics experience
• Demonstrated experience negotiating with hotels, venues, audiovisual providers, and food and beverage partners
• Experience supporting trade shows, exhibitor coordination, or sponsorship logistics is an asset
• Strong budget tracking and financial reconciliation skills
• Comfortable working with event management software and project management tools
• Ability to work in a hybrid environment, three days per week in office in Ottawa or Toronto
• Availability to travel to events and work extended hours during peak conference periods
• Calm, organized, and confident interacting with senior level stakeholders
