What You’ll Do
In this role, you will balance portfolio administration responsibilities with office coordination, helping ensure both client accounts and daily office operations run smoothly. You will work closely with a small, experienced team while serving as a trusted resource for clients and colleagues alike.
Responsibilities
- Manage the administration of client investment accounts with a high level of accuracy and confidentiality.
- Coordinate account openings, transfers, updates, and closures while following applicable regulatory requirements.
- Process transactions and coordinate cash settlements.
- Prepare client reports, presentations, and year-end documentation.
- Maintain accurate client records within the CRM system.
- Respond to and resolve client inquiries in a professional and timely manner.
- Support the day-to-day operations of the Montréal office.
- Welcome visitors, manage incoming communications, and coordinate office logistics.
- Maintain office supplies, vendor relationships, and facility-related needs.
- Assist with meeting coordination, client events, and administrative projects.
- Collaborate with internal teams to support operational efficiency.
Qualifications
- Fluency in both French and English, written and spoken.
- Several years of experience in administration, client service, or office management, preferably within financial or professional services.
- Strong organizational skills with exceptional attention to detail.
- Excellent communication and interpersonal abilities.
- Ability to manage multiple priorities while maintaining accuracy.
- Proficiency with Microsoft Office and CRM systems.
