Bilingual French/English Order Management Specialist

Our client is a reputable and rapidly growing transportation company that operates globally, providing top-tier products/services to a diverse customer base. As part of their commitment to delivering exceptional customer experiences, they are seeking a highly skilled and motivated Bilingual French/English Order Management Specialist to join our team. You will play a critical role in ensuring accurate and efficient order processing and supporting our customers throughout the order fulfillment process.

Position Overview: As a Bilingual French/English Order Management Specialist, you will be responsible for managing all aspects of the order lifecycle, from order entry to fulfillment and post-order support. Your proficiency in both French and English will be essential in effectively communicating with our multinational customers, ensuring their needs are met and exceeding their expectations in every interaction.

Responsibilities:

  1. Order Processing:
  • Receive and process customer orders accurately and promptly, ensuring adherence to company policies and procedures.
  • Verify order details, including product specifications, pricing, and shipping information, to prevent errors and delays.
  1. Customer Communication:
  • Communicate with French-speaking and English-speaking customers to address inquiries, provide order updates, and assist with any issues that may arise.
  • Offer exceptional customer service, promptly resolving order-related concerns and maintaining a high level of customer satisfaction.
  1. Inventory Management:
  • Collaborate with the inventory and logistics teams to ensure sufficient stock levels to fulfill orders and prevent stockouts.
  • Monitor inventory levels and coordinate replenishment as needed.
  1. Order Tracking and Status Updates:
  • Track order progress and provide regular updates to customers, ensuring transparency and reducing uncertainty regarding order delivery.
  1. Returns and Refunds:
  • Process customer returns and manage refund requests, adhering to company return policies and providing timely resolution.
  1. Order Documentation and Record Keeping:
  • Maintain accurate and organized order records, including invoices, shipping documents, and customer correspondence, in both French and English.
  1. Collaboration with Cross-Functional Teams:
  • Collaborate with sales, warehouse, and shipping teams to ensure smooth order flow and timely delivery of products/services.
  • Provide insights and feedback to improve the order management process.
  1. Process Improvement:
  • Identify opportunities for process optimization and propose solutions to enhance order management efficiency and customer experience.

Requirements:

  • Fluency in both French and English, with excellent written and verbal communication skills in both languages.
  • Proven experience in order management, customer service, or a related field is preferred.
  • Strong attention to detail and organizational abilities to manage orders accurately and efficiently.
  • Proficiency in using order management software and Microsoft Office Suite (Word, Excel, Outlook).
  • Exceptional customer service skills with a strong commitment to meeting customer needs.
  • Analytical and problem-solving skills to address order-related issues effectively.
  • Ability to work in a fast-paced environment and prioritize tasks to meet deadlines.
  • Strong team player with the ability to collaborate effectively with cross-functional teams.
